Privacy Policy for Staff and Volunteers (May 2007)
OCS (Orangeville Christian School) is committed to protecting your privacy. In order to comply with privacy legislation, we have developed the following Privacy Policy. Any personally identifiable information is considered personal information and will be treated in accordance with this Privacy Policy.
IDENTIFIED PURPOSES:
OCS only collects and uses personal information from staff members and volunteers for the following purposes:
- Establishing and maintaining communications with staff members, potential staff members, and volunteers, including means of payment for those who hold paid positions.
- Verifying personal information with government agencies (i.e. The Ontario Ministry of Education and Training, The Ministry of Finance, CCRA etc.)
- Establishing a Record of Employment, which shall include evaluations of staff members requiring such evaluations.
In this Privacy Policy the above list will be referred to as the “Identified Purposes”
CONSENT:
Your knowledge and consent of OCS’s collection and use of information that is considered personal is important. We rely on the following actions by you as indications of consent to our practices:
- Your voluntary provision of personal information directly to an OCA staff member for the purpose of joining our paid staff, or as a key volunteer.
- Your consent via your signature on certain application and/or registration forms.
- Your receipt of this Privacy Policy, until you notify OCS of a withdrawal of this consent to maintain your personal information
Should you desire to withdraw your consent, please notify OCS at (519) 94a-3381 and we will inform you of any consequences regarding the withdrawal of consent. These consequences could range from making your employment no longer valid, to no longer receiving certain communications.
LIMITING COLLECTION AND RETENTION OF PERSONAL INFORMATION:
OCS will only collect or use personal information that is necessary for the Identified Purposes or as required by law. If we require that information for any other purpose, we will notify you of that purpose in order to obtain consent. We will retain personal information only as long as is necessary for the fulfillment of the Identified Purposes or as required by law.
ACCURACY:
OCS will maintain your personal information as accurately, completely, and in as up-to-date a manner as we are able, and is as necessary for the Identified Purposes.
SAFEGUARDS:
OCS will protect your personal information with safeguards appropriate to the level of sensitivity of the information. These safeguards will include restricted access and secure storage of that information where appropriate.
ACCOUNTABILITY, OPENNESS AND ACCESS:
OCS has appointed two Privacy Officers for the staff and volunteers. They are Paul Marcus and Henry Lise. They are accountable for OCS’s compliance with this Privacy Policy. A copy of this Privacy Policy will be available from the office, and you may have access to any of your personal information to confirm its accuracy by making arrangements with one of our Officers.
